Payments, Deposits and Refunds Terms

How money is charged, held, released and refunded in every rental.

This document governs everything related to money on VAKA: what you pay and when, how the security deposit works, what is refunded when you cancel, and how the neighbor who lists receives their money. It is part of the Terms and Conditions and, in matters of payments, prevails over them.

1. VAKA's role in payments

VAKA is not a bank or a financial institution. Card payments are processed through Stripe and transfers to local bank accounts through Wise; when paying or collecting through VAKA, the terms of those providers may also apply. VAKA receives payments from the neighbor who rents and settles them to the neighbor who lists in accordance with this document, acting as a limited collection agent for the neighbor who lists. The scope of this function in each country is specified in the per-country annex of this document. The payment made to VAKA by the neighbor who rents is considered valid payment for the booking.

2. Currency and conversion

  • You can view prices and enter amounts (offers, claim amounts) in your local currency.
  • The reference currency for the platform's internal calculation is the US dollar (USD). Conversions between your local currency and USD use the payment processor's exchange rate at the time of each transaction.
  • Due to conversion and rounding, the exact amount you see may vary slightly from the one that appears on your statement. The governing amount is the one confirmed on the payment screen.

3. The price you see is the total price

Before confirming a booking you see the full breakdown of your payment:

  • the rental price for the selected days;
  • the delivery cost, if the neighbor who lists offers it and you chose it;
  • the refundable security deposit, shown separately (charged at delivery, not when booking — section 5).

The rental price shown is total: no hidden charges are added after confirming. The only possible subsequent charges are those expressly described in this document: the security deposit at delivery (section 5), the extensions you request (section 6) and the amounts resulting from a claim resolved in accordance with the Claims Policy.

4. When your booking is charged

4.1 Bookings with upcoming delivery

The rental payment is processed when you confirm the booking. If you paid for a request the neighbor who lists has not yet accepted and that request expires (pending requests expire after 24 hours) or is rejected, the charge is released or refunded at 100%.

4.2 Bookings with distant delivery (scheduled charge)

If your booking's delivery is far in the future, your payment method is saved and the rental charge is processed automatically between 1 and 2 days before delivery. By confirming a booking with a scheduled charge you expressly authorize that automatic charge (without further intervention by you) for the total amount shown at booking. We notify you through the platform's channels when the charge is scheduled and when it is processed. If the charge cannot be processed, we will ask you to update your payment method; if it cannot be completed before delivery, the booking may be cancelled at no cost to you.

5. Security deposit

5.1 What it is and what it's for

The security deposit is an amount the neighbor who rents pays to back the rental. It is the first source of payment if a claim for damage, loss or non-return is resolved against them(Claims Policy). If the rental ends without claims, it is refunded in full.

5.2 How much it is

The amount depends on the item's declared value and your trust level on the platform. Values in effect as of the date of this document (the app always shows you the exact amount before you confirm):

In all cases a minimum floor of USD 25 applies (or its equivalent in local currency). VAKA may adjust these parameters; the amount governing your booking is the one shown when you confirm it.

5.3 When it is charged

The deposit is charged at delivery of the item. It is a real charge, not a simple temporary hold: you will see the charge on your statement. By confirming the booking you expressly authorize that charge on your saved payment method at the time of the documented delivery.

5.4 When it is refunded

  • If the 48-hour claim window after the documented return closes without claims, the deposit refund starts automatically, to the same payment method.
  • Once started, the refund may take several business days to appear on your statement, depending on the timelines of your bank or card issuer.
  • If there is an open claim, the deposit is held until the claim is resolved. Once the claim is resolved, the applicable amount is deducted and the surplus is refunded to you (Claims Policy).
  • If the booking is cancelled before delivery, the deposit is never charged; if by error any deposit charge had been processed before delivery, it is refunded at 100%.

6. Rental days and extensions

  • A rental day is a 24-hour block counted from the documented delivery. The number of days in your booking is counted in 24-hour blocks, not in calendar dates.
  • Extensions are requested from the booking and require approval from the neighbor who lists. When approved, the additional days are charged automatically at the same price per day as the original booking, to your saved payment method. By requesting the extension you expressly authorize that automatic charge.
  • If an extension charge fails, the extension is not confirmed and you must settle the payment or return the item within the original deadline.

7. Cancellations and refunds

VAKA has a single cancellation policy for all bookings. If the neighbor who rents cancels, the refund depends on the moment of cancellation, counted toward delivery:

  • If the one who cancels is the neighbor who lists, or if VAKA cancels the booking (for safety, due to inability to process a scheduled charge, or for breach of the Terms), the neighbor who rents receives 100% of what was paid. There is no additional compensation for cancellation.
  • Since the security deposit is charged at delivery, a booking cancelled before delivery generates no deposit charge (section 5.4).
  • Refunds are processed to the same payment method and may take several business days to appear, depending on your bank or issuer.

8. Payouts to the neighbor who lists

8.1 Your earnings

For each completed rental, your earnings as the neighbor who lists are calculated as follows:

Earnings = rental price − VAKA commission + delivery cost (if you offered it)

VAKA's commission is 20% on the rental price. Neighbors with the Top Neighborhave a reduced commission; the current percentage is shown in your panel. The delivery cost you set is transferred to you in full, with no commission.

8.2 When and how you get paid

  • Your earnings enter the payout cycle when the rental is completed (documented return and, if there was a claim, claim resolved).
  • Payouts are processed in a weekly cycle (batch) and transferred via Wise to your local bank account.
  • You must register a bank account in your name and keep the details correct. Delays or losses caused by incorrect bank details you registered are not VAKA's responsibility; we will help you trace the transfer where possible.
  • VAKA may withhold a payout in full or in part when there is an open claim, a chargeback in progress, a reasonable suspicion of fraud (Anti-Fraud Policy)or an account suspension — in the latter case for up to 30 days, in accordance with the Terms.

9. Chargebacks and disputed charges

If you believe a charge is incorrect, contact us first through the Help Center or /contact: most errors are resolved faster this way than through a bank dispute. Disputing with your bank a legitimate and duly authorized charge (rental, deposit charged at delivery, an extension you requested or an amount resulting from a resolved claim) constitutes a breach: VAKA will present the bank with evidence of the transaction (booking records, authorizations, documented delivery and return) and may apply the account measures provided for in the Terms, including suspension. The debt the chargeback sought to evade remains.

10. Taxes

Each neighbor is responsible for declaring and paying the taxes applicable to their activity on VAKA according to the laws of their country (see the per-country annex). If the applicable law requires VAKA to withhold, collect or report taxes on the platform's transactions, VAKA will do so and will report it in the annex of the relevant country.

11. Charging errors

If you detect a duplicate charge, an incorrect amount or a refund that does not arrive within the described timelines, write to us through the Help Centerwith the booking identifier. Confirmed errors are corrected at 100%, to the same payment method.

12. Per-country annex

The body of this document is common to all countries where VAKA operates. The payment and tax particularities of each country live in this annex.

Honduras

  • Currency: amounts may be shown and operated in lempiras (HNL); the reference currency for internal calculation is the US dollar (USD). Conversion applies the payment processor's exchange rate at the time of each transaction.
  • Payouts to the neighbor who lists: transfers are made via Wise to local bank accounts in Honduras.
  • Taxes: according to applicable Honduran law; the tax detail will be specified in this annex when operations in the country are enabled. Each neighbor is responsible for their own tax obligations on the income they earn on the platform.
  • Consumer protection: nothing in this document limits the rights granted to neighbors by Honduran consumer protection law. The exact legal references will be published in this annex when operations in the country are enabled.
  • Operating entity, applicable law and jurisdiction: will be defined and published in this annex when operations in the country are enabled.

Guatemala
